Cases that arrive ready to work on

Solicitor firms send their case files straight from Proclaim; the costs team reviews the history and opens a pre-filled case without re-keying.

2010s onwards

The client

A firm of legal-costs specialists that takes instructions from many solicitor firms.

The challenge

Each new instruction used to mean collecting the file from the solicitor and typing the client, opponent and insurer details into the costs firm's own system, then working through the history to find the time spent and the key documents.

What we built

Client firms export their case files directly from their own case-management system. Our software:

  • Watches each firm's secure drop folder and emails the team when new cases arrive
  • Shows the full case history, diary and documents, with preview and print-all
  • Creates the case with the client, references, opposing solicitor and insurer already filled in, and warns about likely duplicates
  • Imports time records from a spreadsheet and matches each entry to the right fee earner and court phase
  • Archives older files automatically and tidies up when cases close

Built to add more systems

Each case-management system plugs in through the same importer, with field mappings set per client firm. Proclaim and Legis are supported today, and another system can be added the same way.

Technical details

An ICaseManagementSystem plug-in interface with Proclaim (XML 'ProgressXMLExport', optionally zipped, with ctl file lists) and HTML-listing adapters, an external case cache and history UI. A heartbeat server task does folder scanning, alerting, compression and FTP-archive housekeeping.

Excel ledger import uses Syncfusion XlsIO, Levenshtein fee-earner matching and database-configurable phase, task and activity import rules, with an automatic pre-import bill backup.
